GENERAL DESCRIPTION AND PURPOSE:

The Administrative Assistant is responsible for secretarial and receptionist duties, data entry into the DFPS PEIRS database, promoting the HOPES program (through social media, the website, and Bright by Text), and going into the community to partnering with local agencies for outreach and recruitment opportunities and events.

Education:

  • GED or HS Diploma required, Associate's Degree preferred.
  • Degree in Marketing, Communications, Public Relations or a related field preferred.

Experience:

  • 2 or more years of experience in data entry is preferred.
  • 2 or more years of experience in public relations is preferred. 

Skills/Abilities:

  • Bilingual preferred.
  • Computer skills; including web browsing, e-mail, data entry, Microsoft Office, Canva, Teams.
  • Strong organizational and record-keeping skills and attention to detail.
  • Ability to work independently and be self-motivated.
  • Works well as a member of a team.
  • Ability to establish rapport with community partners and engage new agencies and opportunities.
  • Willingness to regularly attend events and engage with the community. 

RESPONSIBILITIES:

  • Enter and maintain monthly program data.
  • Provide data reports to the Director of HOPES in a timely fashion to meet grant requirements.
  • Participate in continuous quality improvement.
  • Coordinate publicity for the HOPES program.
  • Maintain HOPES website.
  • Send out BrightByText community messages (once a week).
  • Post on HOPES social media (3x a week).
  • Engage in outreach efforts in the community (once a week minimum for the first 90 days of employment, 2-3 a week after 90 days).
    • Attending local community events.
    • Networking with local organizations.
    • Establishing connections with new partners.
    • Engaging families to sign up for the program.
    • Describing the HOPES program accurately and effectively.
    • Outreach expectation is subject to change due to state requirements, the number of families, waitlist status, and as advised by the supervisor and/or Executive Director.
  • Complete intake paperwork with interested participants.
  • Attend and assist at client events.
  • Partner with other staff:
    • Family Abuse Center Prevention Department (community events).
    • Family Abuse Center Development/Media Department (website and social media).
  • Other duties as assigned.

OTHER:

  • Must have a personal vehicle for outreach events (mileage reimbursement will be provided). 
  • Must have a valid Driver's License, clean driving record and insurance. 
  • Must be available for weekend or evening events, if necessary.
