Family Abuse Center exists to eliminate domestic violence in Central Texas by sheltering victims of domestic violence and preventing abuse from occurring through intervention and education. GENERAL DESCRIPTION AND PURPOSE:
The Executive Assistant & HR Coordinator provides high-level administrative support to the Executive Director (ED) while assisting with key human resources functions. This role ensures smooth day-to-day operations of the Executive Director, supports board relations and helps maintain HR compliance and best practices. The Executive Assistant & HR Coordinator serves as a liaison between the Executive Director and staff, board members, and external stakeholders, handling confidential information with professionalism and discretion.
The regular workday for this position will be within Family Abuse Center business hours, M-F, 8 a.m. to 6 p.m., except for special activities. Work hours cannot exceed 40 hours per week without pre-approved overtime.

Education:
- Associate or bachelor’s degree in Business Administration, Human Resources, or a related field preferred.
- HR certification (PHR, SHRM-CP) is a plus.
Experience:
- Minimum of 3 years of experience in an executive support, HR, or administrative role, preferably in a nonprofit setting.
- Experience in human resources functions such as hiring, onboarding, and compliance.
- Experience working with diverse populations and groups.
Skills/Abilities
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with HR/payroll software or database management preferred.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Ability to work independently and collaboratively in a fast-paced environment.
- Experience in scheduling, meeting coordination, and handling administrative tasks.
- Strong problem-solving skills and ability to take initiative.
- Speak effectively before groups of people.
- Ability to maintain accurate data and documentation.
- Ability to resolve conflict.
- Provide and receive supervision.
- Demonstrates effectiveness as a member of a team as well as the ability to work independently.
License/Credentials:
- Valid Texas Driver’s License and clear driving record
- Current Auto and Drivers insurance
RESPONSIBILITIES:
Executive Administrative Support
- Manage the Executive Director’s calendar, schedule meetings, and coordinate appointments.
- Prepare and edit correspondence, reports, and presentations.
- Maintain organized digital and/or physical files and records.
- Handle travel arrangements and expense reporting.
- Assist in drafting and proofreading communications for accuracy and clarity.
- High level administrative tasks.
- Serve as a liaison between the Executive Director and staff, board members, and external stakeholders.
Board & Committee Support
- Coordinate Board of Directors and committee meetings, including scheduling, preparing agendas, and distributing materials.
- Record and distribute meeting minutes.
- Maintain board records and ensure compliance with governance requirements.
Human Resources Support
- Assist with recruitment efforts, including job postings, application tracking, and coordinating interviews.
- Oversee new hire onboarding, ensuring completion of required paperwork, orientation, and training.
- Maintain employee records and ensure compliance with HR policies and procedures.
- Track staff training requirements and certifications.
- Assist the Finance Department with benefits administration, including enrollment and annual renewals as needed.
- Support employee engagement initiatives, such as staff appreciation events and wellness programs.
- Ensure compliance with employment laws and organizational policies.
Operational & Special Project Support
- Support planning and execution of events, training, and special projects.
- Research and compile information for grant applications, reports, and strategic initiatives.
- Assist with donor and funder correspondence as needed.
Confidentiality & Professionalism
- Handle sensitive information with discretion and maintain confidentiality in all matters.
- Represent the Executive Director and Family Abuse Center professionally in all interactions.
